Project Administrative Coordinator

Most projects are located in the Port of Antwerp and the Port of Ghent. Think of lifting operations in the petrochemical industry and transport projects. WHAT YOU'LL DO: We're looking for someone with strong analytical skills, a practical mindset, and a passion for structure and numbers. In this key position, you'll be responsible for the administrative, financial, and operational follow-up of our projects. You'll ensure accurate invoicing, monitor costs and revenue, and act as the internal liaison between planning, project management, and sales. Your role is crucial in ensuring that everything behind the scenes is correct, from certificates and POs to VAT regulations and project data in SAP.

Your tasks will include: Preparing invoices based on work orders and contracts Maintaining settlement statements Processing purchase requests (PRs) into purchase orders (POs) and following up on invoicing vs. POs Report errors or inconsistencies in the administration (e.g. missing inspections for specific crane types) Contribute to reporting, month-end closing WHAT YOU NEED You are hands-on, alert and like structure You have experience with invoicing and/or purchasing, preferably in a technical or industrial context You work independently and in a structured manner, even in a sometimes chaotic environment You have a solid knowledge of Excel (formulas, pivot tables, logic) You think critically about costs/revenues and processes You are communicative and dare to ask questions You preferably have a financial-administrative background, but your experience and attitude are decisive Knowledge of SAP is a major plus No 9 to 5 mentality Professional skills Lead and monitor employees: Financial functions Prepare the organization's budget, present it to the management bodies and implement adjustments Define and initiate procedures for administrative and financial management, indicators for monitoring the activity and reporting to the management Supervise and coordinate management control and internal audit (evaluation of financial risks, validation of tax choices, ...)
